Job Summary
Rental Project Coordination Manager leads and coordinates a distributed team of Rental Project Coordinators, ensuring accurate, timely rental project execution across branches. Responsibilities include establishing performance expectations, providing onboarding and coaching, overseeing full lifecycle coordination of rental projects (order setup, scheduling, relocations, off-rents, closeouts, documentation control), ensuring subcontractor scheduling and compliance, maintaining auditable project records, tracking productivity and quality metrics, identifying process improvements, and partnering with Sales, Operations, Accounting, IT, and branch leaders to align on project initiation, changes, and delivery. Strong emphasis on scheduling, documentation, workflow management, contract/billing compliance, and data-driven process improvement. Requires high school diploma (Bachelor's degree preferred), 5-8+ years of experience in related roles, supervisory experience, and excellent organizational and communication skills. Required Qualifications
- High school diploma or equivalent required
- Bachelor's Degree preferred
- 5-8+ years of experience in project coordination, operations support, administrative leadership, or related roles
- Experience leading, coaching, or mentoring team members in a fast-paced, process-driven environment
- Strong background in scheduling, documentation, workflow management, and operational coordination
- Experience serving as a liaison between operations/business teams and IT/systems or development teams preferred
- Experience participating in process improvement, system enhancement discussions, user acceptance testing, or workflow redesign preferred
- Strong organizational, prioritization, and multitasking ability
- High attention to detail and commitment to accuracy
- Strong written and verbal communication skills
- Process-oriented mindset with ability to standardize work and reinforce accountability
- Ability to manage competing priorities in a high-volume environment
- Ability to clearly communicate business needs and workflow gaps to IT Development team
- Strong systems thinking and ability to identify root causes, dependencies, and downstream impacts
- Ability to partner effectively with Sales, Operations, Accounting, IT/Systems, and branch leaders
- Experience working across multiple branches, functions, regions, or locations (preferred)
- Experience supporting rental, construction, modular structures, operations, logistics, or field-service environments (preferred)
- Experience using performance metrics, reporting, or workflow data to improve team execution and process consistency (preferred)
