Recruitment Coordinator - Administration

Job Summary

Coordinate the full-cycle recruitment process for executive search projects, managing document development, continuous communication via email and telephone, and detailed follow-up on activities. Serve as the nerve center of the Dallas office by providing personalized candidate experiences from application to start date, maintaining comprehensive candidate and client records, and supporting Executive Recruiters with process-driven tasks. Deliver exceptional customer service and high-quality deliverables for both candidates and clients while collaborating with teammates to meet weekly goals in a fast-paced, deadline-oriented environment.

Required Qualifications

  • High school education
  • 2+ years of executive level administrative support experience
  • 2-3 years of experience as a Scheduler or Coordinator preferably in the recruitment industry
  • Exceptional customer service orientation
  • Superb written and spoken communication skills
  • Proficiency with Microsoft Office 365, primarily Outlook, Word, Excel and PowerPoint
  • Strong internet research skills
  • Previous experience with online sourcing tools
  • ATS or CRM experience
  • Strong intuition for identifying and creatively sourcing talent
  • Ability to multitask, prioritize and work in a fast-paced environment
  • Ability to work independently and in a high pressure, multi-personality, fast-paced, deadline-oriented environment
  • Ability to prioritize and plan in a fast-paced setting
  • Ability to collaborate effectively with others in-person and in a virtual environment
  • Ability to build strong relationships
  • Ability to manage a large workload in a timely manner with varying deadlines
  • Must be comfortable working in a confidential environment

Desired Qualifications

  • College degree
  • Prior knowledge in or experience of healthcare, human resources, marketing and recruiting
  • A naturally inquisitive personality
  • Problem-solving skills
  • Previous experience in healthcare, education and/or professional service organizations
  • Knowledge of HR and employment law
  • An understanding of Recruiting principles
  • Candidates demonstrating strong internet research skills, previous experience with online sourcing tools, and ATS or CRM experience will receive preferential consideration
