Recruitment Coordinator - Administration

Job Summary

Coordinate the full-cycle recruitment process for executive search projects, managing document development, continuous candidate communication via email and telephone, and detailed record maintenance. Serve as the primary point of contact for candidates from application to start date while supporting Executive Recruiters with process-driven tasks and high-quality deliverables for both clients and candidates. Maintain detailed candidate and client records, ensuring exceptional customer service and attention to detail in a fast-paced, team-oriented environment. Work closely with the Dallas office Lead to strategize weekly goals and manage a large workload with varying deadlines, presenting a polished professional image during in-person, virtual, or electronic interactions.

Required Qualifications

  • High school education
  • 2+ years of executive level administrative support experience
  • 2-3 years of experience as a Scheduler or Coordinator preferably in the recruitment industry
  • Exceptional customer service orientation
  • Superb written and spoken communication skills
  • Proficient with Microsoft Office 365, primarily Outlook, Word, Excel and PowerPoint
  • Must be comfortable working in a confidential environment
  • Ability to prioritize and plan in a fast-paced setting
  • Ability to collaborate effectively with others in-person and in a virtual environment
  • Ability to build strong relationships
  • Ability to manage a large workload in a timely manner with varying deadlines

Desired Qualifications

  • College degree
  • Prior knowledge in or experience of healthcare, human resources, marketing and recruiting
  • A naturally inquisitive personality and problem-solving skills
  • Previous experience in healthcare, education and/or professional service organizations
  • Candidates demonstrating strong internet research skills
  • Previous experience with online sourcing tools
  • ATS or CRM experience
  • Strong intuition for identifying and creatively sourcing talent
  • Ability to multitask, prioritize and work in a fast-paced environment
  • Ability to work independently and in a high pressure, multi-personality, fast-paced, deadline-oriented environment
  • Knowledge of HR and employment law
  • An understanding of Recruiting principles
