Job Summary
Recruiting Coordinator responsible for end-to-end interview scheduling across Pi’s open roles, maintaining Ashby as the system of record, ensuring a fast, warm, and consistent candidate experience, designing scalable recruiting workflows, and enabling hiring managers. You will manage multi-panel interviews and founder rounds across time zones, maintain pipeline hygiene, generate reporting dashboards, prep interviewers, coordinate recruiting events and employer-brand logistics, and help maintain compliant and transparent job postings. Bonus points for experience with Ashby, coordinating technical hiring, and a strong orientation toward building scalable recruiting operating systems with upward career trajectory.
Required Qualifications
- 1–4 years in recruiting coordination, executive assistance, or high-volume scheduling at a fast-moving company
- Startup or high-growth experience strongly preferred
- Experience with Ashby preferred (reporting, workflows, and automated scheduling)
- Exposure to offer operations: packet assembly, background checks, I-9 coordination, or onboarding handoff (bonus)
- Strong written communication and ability to maintain fast, warm candidate touchpoints
- Ability to coordinate complex multi-panel interview processes across time zones and calendars
- Comfort building recruiting workflows, templates, and reporting cadences
- Attention to detail and high EQ with discretion in handling confidential information
- Experience coordinating technical hiring (engineering, ML, research) is a bonus
- Interest in growing into recruiting or people ops with upward trajectory
- Compliance with pay transparency on postings
