Recruiting Administrator

Job Summary

Process new employment applications, review for completeness, and maintain records in the Applicant Tracking System. Schedule interviews, coordinate communications via phone and email, and track recruiting metrics. Conduct preliminary screenings, verify employment history and work eligibility, and manage background investigations and drug testing. Coordinate maritime compliance verifications including TWIC cards, OSHA certifications, and safety training. Manage onboarding activities from I-9 processing to badge requests and orientation scheduling. Serve as the primary administrative contact for field employees regarding paperwork, credential renewals, and payroll documentation. Maintain accurate records for recruiting activity, hiring metrics, and compliance documentation.

Required Qualifications

  • United States citizenship
  • Active Transportation Worker Identification Credential (TWIC)
  • Port Access Badge with the Alabama State Port Authority
  • High School Diploma or GED
  • Minimum two years of administrative experience
  • Exceptional organizational skills
  • Strong attention to detail
  • Excellent verbal and written communication
  • Ability to prioritize multiple tasks

  • Ability to walk throughout office facilities
  • Occasional travel to client sites, shipyards, or hiring events
  • Appropriate Personal Protective Equipment (PPE) availability during site visits

  • Experience in staffing, recruiting, HR, or workforce management
  • Maritime, industrial, construction, or skilled trades experience
  • Experience with Staffing software
