Job Summary
Manage daily administrative operations to ensure compliance with State Law and industry standards for records retention and distribution. Receive, process, and file officer reports, traffic citations, and affidavits while separating juvenile and adult records. Operate computerized systems for data entry, retrieval, and searches across FCIC, NCIC, and DAVID databases. Provide exceptional customer service by answering inquiries, preparing public records requests with redactions, and offering fingerprinting services. Maintain petty cash funds, process worthless checks, and manage bookkeeping duties. Facilitate Uniform Crime Reporting, transmit case files to the State Attorney, and oversee training documentation for department personnel.
Required Qualifications
- High School Diploma or GED
- NCIC/FCIC certification
- Notary obtained within six (6) months of employment date
- minimum of one (1) year of experience in an equivalent field or a combination of training and experience which provides the required knowledge, skills and abilities
- Demonstrated proficiency of keyboarding 40 wpm with no more than five (5) errors
- good oral and written communication skills with the ability to communicate tactfully and impartially
- ability to make sound decisions, problem solve, organize thoughts and reason logically
- ability to read, comprehend, interpret, analyze, and practically apply agency directives, reports, memorandums, and policies and procedures
- ability to follow oral/written directions
- ability to successfully maintain and work with confidential information
- ability to read and understand Florida State Statutes, State of Florida records management mandates, City Ordinances, research, resource and supplemental materials, current FCIC policies/procedures, Uniform Crime Reporting procedures/codes, and case reporting clearance codes
- ability to read and analyze date with the ability to apply appropriate application
- familiarity with the Criminal Justice System and FDLE mandates as they apply to records management
- ability to read, understand, and appropriately file various reports/documents/records
- ability to file alphabetically/numerically
- valid Florida Class E driver license
- ability to operate a motor vehicle
- ability to pass applicable post offer pre-employment testing and background and credit check selection process requirements
- ability to report for work when a declaration of emergency has been declared in Polk County
