Job Summary
Answer incoming calls, route them to the appropriate party, and greet all facility visitors while ensuring they sign in. Operate the multiline telephone and paging system to locate personnel and report suspicious behavior to the supervisor. Receive, sort, and forward incoming mail, coordinate express mail services, and maintain a guest list by name and room number. Handle sensitive guest information with confidentiality, report hazardous conditions and supply issues, and keep the lobby and workstation clean. Respond to special requests from guests and family members, and distribute job applications to prospective employees. This part-time role supports multiple departments and requires rotating shifts, holidays, and inclement weather coverage.
Required Qualifications
- High school diploma or equivalent
- Ability to lift, open filing cabinets and bend or stand as necessary
- Must be available for rotating shifts
- Must be available for holiday work
- Must be available for work during inclement weather
- Ability to operate multiline telephone and paging system
- Ability to answer incoming calls, determine the nature of the call and route the call to the appropriate party
- Ability to locate personnel by using overhead paging system
- Ability to greet and direct all visitors to the facility
- Ability to ensure that all visitors sign-in
- Ability to refuse visitor's entry to the facility if needed
- Ability to report suspicious behavior to the supervisor on duty
- Ability to respond to inquiries regarding job openings and distribute job applications to perspective employees
- Ability to receive, sort and forward incoming mail
- Ability to coordinate the pick-up and delivery of express mail services
- Ability to report all guest concerns to the appropriate department head
- Ability to maintain a list of all guests by name and room number, staff extension numbers and key personnel
- Ability to handle sensitive information regarding guests and other facility matters with professionalism and confidentiality
- Ability to work in an organized fashion
- Ability to keep lobby and workstation clean and free of hazards at all times
- Ability to report all hazardous conditions, damaged equipment and supply issues to the supervisor
- Ability to communicate and interact effectively and tactfully with Guests, visitors, families, peers and supervisors
- Ability to attend and participate in departmental meetings and in-services as directed
- Ability to respond to special requests made by guests, and family members
Desired Qualifications
- One year experience in a customer service role
