Job Summary
Greet visitors, answer incoming calls, and direct callers to the appropriate team members while maintaining a warm, professional presence. Manage front desk operations by preparing daily intake paperwork, scanning and uploading mail and faxes to SmartAdvocate, and processing office emails. Provide prompt service to visitors and callers, assist Case Managers and Paralegals with data entry and office tasks, and handle miscellaneous duties such as housekeeping and calendar management. Attend daily and weekly huddles to align with team goals.
Required Qualifications
- High school diploma or equivalent
- Ability to pass a background check
- Reliable, punctual, and comfortable working on-site full-time
- Attendance at firm huddle every Monday at 8:00 am
- Attendance at mini huddles with Lead Tuesday through Friday at 8:00 am
- Answer phones by the second ring and direct caller to the person who can help them
- Greet people at the door and offer them beverages/try to make them comfortable
- Prepare Daily Intake paperwork
- Scan, name and upload all mail, hand-deliveries, and faxes to SmartAdvocate or the admin files daily
- Process all office emails daily, including VineSigns, Alert, TRD, voicemails and any others that are automatically forwarded to the office email address
- Rename all incoming MMS photos on a monthly basis
- Direct calls to the right person with as much efficiency and diplomacy as possible
- Weed out unwanted callers
- Provide prompt and courteous service for every caller and visitor
- Become familiar with clients and callers to help document the case and handle client issues that arise
- Posting all messages in SmartAdvocate promptly and accurately
- Helping the Case Managers/Paralegals with data entry and other office tasks when not receiving calls or visitors
- Uploading client photos to their case file
- Make sure water, coffee and other beverages are available for all meetings
- Clean/organize the reception area, copy room and conference rooms
- Assist Marketing or case workers with any mailings, when requested
- Make general appointments at attorneys' request
- Post case and provider information into SmartAdvocate
Desired Qualifications
- Some office or customer service experience (preferred, not required)
- A friendly, positive attitude and professional presence
- A track record of consistency and commitment in previous roles is a plus
