Job Summary
Receptionist at Capita HAAS responsible for greeting visitors, managing security, directing claimants, and handling day-to-day administrative tasks. Duties include meeting and greeting, managing appointments via CRM/PRS and re-scheduling as needed, opening/locking the venue, door-entry management, data entry, document creation and uploading to H&S CASPER, maintaining office supplies, ensuring a professional venue environment, and providing information to claimants and staff while delivering excellent customer service. The role requires IT literacy (MS Teams, Word, Outlook, CRM), conflict resolution skills, clear communication, and the ability to work with minimal supervision. The position is office-based in Enniskillen with hours 08:00-17:00, Monday to Friday, under Capita Healthcare-related services for HAAS in partnership with DWP/DfC.
Required Qualifications
- Experience as a receptionist and customer service (customer facing)
- Have good planning and organisational skills
- Must be IT literate (MS Teams, Word, Outlook and CRM systems)
- Experience of conflict resolution and de-escalation techniques in a face-to-face environment
- Ability to communicate clearly and concisely both verbally and written
- Customer service ethos and friendly disposition
- Initiating contact with claimants, companions and visitors
- Able to attend training and development courses
- Be attentive, polite and approachable
- Excellent time management and punctuality
- Willing and able to work without supervision
- Good listening, understanding and helpfulness for professional service
