Job Summary
Receptionist at Capita HAAS, the role involves being the first and last point of contact for visitors and staff, greeting claimants and companions, managing venue safety and security, exchanging information, and supporting day-to-day operations. Responsibilities include meeting and greeting visitors, managing daily appointments via CRM/PRS and re-scheduling as needed, door entry management and attendee validation, directing claimants to appropriate areas, data entry and maintenance of CRM/PRS systems, creating/completing/uploading documents to H&S CASPER, maintaining office supplies, ensuring professional standards of the venue, providing information to claimants and staff, and facilitating travel directions using knowledge of local transport. The position requires IT literacy (MS Teams, Word, Outlook, CRM), strong planning and organisational skills, conflict resolution and de-escalation abilities, clear written and verbal communication, a customer-service mindset, the ability to work without supervision, and a professional, attentive, and helpful demeanor. The role is full-time, office-based in Swansea, United Kingdom, with working hours 08:45-16:45, Monday to Friday, and is offered with salary and benefits as part of Capita’s employment package.
Required Qualifications
- Experience as a receptionist and customer service (customer facing)
- Have good planning and organisational skills
- Must be IT literate, MS teams’ word, outlook and CRM systems
- Experience of conflict resolution and de-escalation techniques in a face-to-face environment
- Ability to communicate clearly and concisely both verbally and written
- Customer service ethos and be of a friendly disposition
- Initiating contact with claimants, their companions and all visitors
- Be willing and able to work without supervision
- Be a good listener, understanding and helpful and provide a professional service
