Job Summary
Receptionist & Administrative Assistant position based in downtown Toronto. Provides front-line support by greeting visitors, handling vendor inquiries, answering main phone lines, and coordinating with internal teams and landlords. Responsibilities include updating the Toronto Office site on Teams, managing the department mailbox and ticket system, coordinating travel and hotel arrangements, calendar management, expense reporting, preparing presentations and organization charts, booking meetings and events, maintaining distribution lists, and assisting with general office services. The role requires collaboration with management, strong communication skills, and the ability to work in a dynamic, fast-paced environment with flexibility across time zones. Preferred bachelor’s degree or diploma and 3+ years of related experience; proficiency in MS Office Suite (Teams, SharePoint, Word, PowerPoint) is expected; hybrid remote work arrangement available up to 52 days/year.
Required Qualifications
- 3+ years of experience in similar or comparable administrative roles; experience within engineering, construction, or architectural environments considered an asset
- Bachelor’s degree or diploma from a post-secondary institution is preferred
- Proficient in Microsoft Office Suite, including Teams, SharePoint, Word, and PowerPoint
- Excellent written and verbal communication skills
- Strong multitasking and coordination skills in high-pressure, fast-paced environments
