Job Summary
Organize and review inspection reports for accuracy, then file documents into turnover dossiers per area and project specifications. Track construction progress by inserting daily documents into dossiers, audit logs to identify errors, and report workflow delays to the supervisor. Maintain vendor and client documents while managing a high-volume workload with little supervision. Use MaxTrax weld tracking system and understand welding procedure specifications and material tracking reports. Work in the shop office in the Permian Basin during day shifts, with some overtime possible.
Required Qualifications
- Must have experience in document or administrative management
- Must be able to manage a high-volume workload
- Must be able to work in a team
- Must be able to track and maintain documents for client, vendor and NDE requirements
- Must be able to identify delays or issues that interfere in workflow processes and report to supervisor
- Must be able to maintain efficient workflow of vendor and client documents
- 1 to 3 years' related experience in administrative management
- 1 to 3 years' related experience in quality inspection reports
- Minimum of one year's Industrial or Oil and Gas experience is preferred
- Ability to understand welding procedure specifications (WPS)
- Ability to understand material tracking reports (MTRs)
- Ability to understand weld mapping and heat numbers
- Ability to understand isometric drawings
- Well organized, attention to detail & good communications skills
- Ability to prioritize, demonstrate initiative, and handle the pressure of multiple project group document requirements with tact
- Attention to detail, accuracy
- Computer literate and competent in the use of MS Word, Excel, PowerPoint, Bluebeam, Outlook, and ability to learn MaxTrax
- Knowledge of clerical and administrative procedures and systems such as filing & recordkeeping
- Knowledge of operation of standard office equipment
- Solid communication skills, professional attitude, and works well and in harmony with others
- Strong organizational skills including alphabetization and numerical filing
- Ability to work independently and excellent time management skills
- Traceability / Document Control / Turnover knowledge
- Ability to lift, bend, stoop, sit, stand, and reach for extended periods of time
- Ability to carry up to 50 pounds
- Ability to stand for extended periods of time
- Ability to walk the property and laydown yards
- Some overtime may be required with management approval
Desired Qualifications
- Oil and Gas industry experience preferred
- Qualified candidates will also have experience with welding procedure specifications (WPS) and material tracking reports (MTRs) highly preferred
- Familiar with the types of equipment used in process plants – field or vendor experience a plus
