Job Summary
Highly organized Quality Administrative Specialist to support the Quality and Regulatory team in Reno, NV. Responsibilities include maintaining and organizing quality, compliance, and operational documentation; managing document revisions, records, and filing systems; tracking projects, deadlines, action items, and follow-ups; creating and maintaining spreadsheets, reports, logs, and databases; supporting audit preparation and documentation requests; coordinating meetings and assisting with administrative projects; ensuring records remain accurate, audit-ready; collaborating with leadership and cross-functional teams; and assisting with process improvements and special projects. Requires 2+ years in administrative/secretarial/document-control roles, advanced Excel, strong MS Office skills, excellent organization, attention to detail, and effective communication. Preferred experience in healthcare, manufacturing, legal, compliance, or regulated environments; document control/records management; experience supporting audits or quality systems; Associate's or Bachelor's degree.
Required Qualifications
- 2+ years of experience in an administrative, executive assistant, legal secretary, medical secretary, project coordinator, or document control role
- Advanced Microsoft Excel skills
- Strong Microsoft Office proficiency (Word, Outlook, PowerPoint)
- Exceptional organizational and time management skills
- Strong attention to detail and accuracy
- Excellent written and verbal communication skills
- Ability to manage multiple priorities in a deadline-driven environment
