Job Summary
Purchasing Assistant supports day-to-day procurement and receiving operations across the House. The role involves purchasing administration, requesting quotations, managing quotations and records, registering products and updating pricing in the Adaco system, supplier documentation, and new vendor accounts. Receiving operations include inspecting goods against purchase orders and invoices, verifying quantities, pricing, delivery schedules, and product condition, and processing receiving entries. Vendor and inventory coordination covers follow-ups with suppliers, communicating delivery updates and shortages, and sourcing alternative products. Documentation and financial coordination encompass organizing receiving documents, invoices, and purchasing records, coordinating invoice submissions with Finance, and updating pricing as needed. Storage and food safety duties include maintaining storage areas, monitoring refrigeration and freezer storage per food safety standards, and ensuring proper stock placement and storage procedures. The role emphasizes accurate and timely purchasing and receiving records, smooth procurement coordination between suppliers and operational teams, and compliant inventory and storage management.
