Job Summary
Proposal Coordinator supports bid and proposal activities from RFP/RFQ through submission, coordinating communications with customers, suppliers, and internal stakeholders. Responsibilities include pre-award sourcing, commercial coordination, quotation follow-up, bid documentation control, and overall proposal execution support; post-award transition into procurement contract administration or project management support as needed. Requires experience in bid/proposal coordination, procurement, project management, or contract management (rail or similar manufacturing industries) and strong communication, organizational, and cross-functional collaboration skills. Proficiency with Microsoft Office and the ability to manage multiple priorities during deadlines is essential.
Required Qualifications
- Minimum 3 years of relevant experience in procurement, project management, contract management, bid coordination, or related functions.
- Experience in bid/proposal coordination, procurement, strategic sourcing, contract management, or project management.
- Ability to communicate effectively with suppliers, internal stakeholders, and global teams.
- Strong commercial awareness and ability to coordinate multiple workstreams in a deadline-driven environment.
- Detail-oriented with strong organizational, documentation, and follow-up skills.
- Strong written and verbal communication skills.
- Ability to work under pressure in a fast-paced, cross-functional environment.
- Proficient in Microsoft Office applications, including Excel, Word, PowerPoint, and Outlook.
- Ability to review and understand commercial documents, quotations, technical documents, schedules, BOMs, and related project files.
- Strong problem-solving skills and ability to escalate issues appropriately.
