Job Summary
Proposal Coordinator based in Johannesburg, South Africa, supporting Hatch’s global Client Action Team (CAT) for sales efforts in Africa, India and the Middle East. Responsibilities include managing the administrative side of proposal development (SharePoint, templates, inputs/reviews, final production), coordinating kickoff meetings, drafting standard content, formatting documents, ensuring compliance with RFP requirements, updating CVs/bios/project descriptions, tracking schedule progress, maintaining proposal files/databases, collaborating with graphics to develop tailored visual content, and supporting post-submission activities. Requires a diploma/degree in Business/Communications/Marketing or equivalent, 2+ years in proposal development (1+ year as a coordinator), strong writing and proofreading skills, excellent organization and time management, ability to work under pressure, attention to detail, teamwork, advanced MS Office, familiarity with SharePoint and Adobe Creative Cloud, CRM tools, and desirable knowledge of the engineering, procurement and construction management consulting industry.
Required Qualifications
- A diploma or degree in Business, Communications, Marketing, or equivalent experience
- 2+ years of proposal development experience, including at least 1 year of experience as a proposal coordinator
- Exceptional writing skills with a keen eye for grammar, clarity, and consistency in editing and proofreading
- Excellent organizational and time management skills
- Proven ability to work under pressure and manage multiple deadlines
- High attention to detail and a strong commitment to quality
- A collaborative mindset and the ability to thrive in a team environment
- Advanced proficiency in Microsoft Office suite
- Familiarity with SharePoint, Adobe Creative Cloud (InDesign, Photoshop, and Illustrator), and CRM tools (an asset)
- Working knowledge of the engineering, procurement, and construction management consulting industry (highly desirable)
