Job Summary
Coordinate end-to-end proposal development for Requests for Information, Quotations, Proposals, and Statements of Qualification by reviewing solicitations, developing compliance matrices, and assembling technical and commercial content from estimating, engineering, legal, and project management contributors. Draft, edit, and proofread proposal materials including engineering bills of materials, pricing forms, and project schedules while maintaining a searchable content library of templates, resumes, and case studies. Support client presentations by compiling content, building decks, and preparing speaker notes. Manage accurate opportunity data, win/loss metrics, and pipeline reports to enable informed pursuit decisions. Work with minimal supervision to deliver compliant, professional packages on tight deadlines while adhering to corporate standards and maintaining secure electronic files.
Required Qualifications
- High school diploma or equivalent
- Aptitude for managing multiple, concurrent proposals in a fast-paced, deadline-driven environment
- Ability to interpret RFP and RFQ instructions and evaluation criteria and to develop compliance matrices and schedules
- Strong writing, editing, and proofreading skills with excellent grammar, spelling, and punctuation
- Proficiency with Microsoft Office (Word styles, sections, and tables of contents; PowerPoint; Excel) and Adobe Acrobat (PDF assembly and bookmarking)
- Good organizational skills, including development of work plans, version control, and the ability to multitask effectively
- Strong interpersonal skills with the ability to collaborate and communicate at all levels of the organization and with external partners
- Ability to identify problems, propose solutions, and drive issues to resolution under tight deadlines
- Willingness to work flexible hours during peak deadlines
- Limited travel (up to 10%) may be required
- Candidates must be at least 18 years of age and legally authorized to work in the United States on a permanent basis without current or future visa sponsorship
Desired Qualifications
- Associate's or bachelor's degree in marketing, business, communications, technical writing, engineering, or a related field
- Minimum of 2 years of experience in a proposals, marketing, or sales operations role
- Experience in EPC, industrial, or energy markets
- Experience with Adobe InDesign or Illustrator and RFP tools such as RFPIO, Loopio, or Qvidian
- Familiarity with CRM platforms such as Salesforce or HubSpot
