Property Administrator

Job Summary
Open the property management office before 8 am, answer calls by the third ring, and greet all visitors. Process invoices, code them for the portfolio, and track budget versus actual operating expenses. Review rent roll information, reconcile prior month rolls to current rolls, and prepare monthly tenant bill-backs including utilities and labor charges. Maintain tenant and vendor files, update contact information in Prism, and issue new building keys and access cards. Prepare vendor service contracts, assist with competitive bidding, and process tenant requests via phone or email. Ensure all notices, lists, and certificate of insurance logs remain current, and distribute the monthly Janitorial S.F. Report. Assist with annual budget preparation and special projects as directed.
Required Qualifications
- Bachelor's degree
- One to two years' experience in the real estate industry
- Ability to work in a fast-paced, collaborative and results driven environment
- Exceptional verbal, written and organizational skills
- Excellent attendance
- Excellent client service orientation
- Intermediate to advanced MS Word and Excel proficiencies
- Ability to keep information strictly confidential
- Positive attitude and highest level of professionalism
- Ability to communicate effectively and professionally, both oral and written, with owners, tenants and coworkers

- Professional phone manner
- Mature and self-motivated team player with good conflict-resolution skills
