Promontory Hospitality Administrator

The Hospitality Administrator (HA) provides administrative and operational support across the Winery Ambassador team, Patron Relations, and the broader hospitality function to ensure seamless planning, organization, and execution of daily hospitality activities and relationship-centered initiatives. Responsibilities include cross-functional coordination between hospitality, patron relations, logistics, and fulfillment; maintaining patron/client records in CRM and related tools; preparing hospitality collateral and guest-facing documents; coordinating reservations; updating guest details and preferences post-visit; maintaining accurate mailing, billing, and shipping addresses; supporting post-visit order coordination; coordinating external vendors and service partners; assisting with winery pick-up orders; serving as an on-site hospitality representative; supporting wine allocation fulfillment and delivery logistics; handling inquiries related to hospitality experiences and orders; managing cases for shipping changes and service recovery; verifying payment details; and contributing to special hospitality initiatives. Required skills include exceptional customer service, strong organizational and interpersonal abilities, excellent written and verbal communication, proficiency with Microsoft Excel, Word, Outlook, CRM Dynamics, and Navision, as well as physical ability to lift up to 45 pounds, work flexible hours including evenings and weekends, and hold a valid CA driver’s license.
