Job Summary
Project Specialist role supporting Directors, Project Consultants, and Project Managers across the project lifecycle with duties spanning pre-construction data processing, procurement, payroll processing, billing and accounts receivable, subcontractor setup, COI/subcontract management, LEED documentation, safety documentation, and general office tasks. The role includes coordinating travel/meetings, developing supporting materials, attending office and project meetings, handling receptionist duties, and acting as a point of contact to ensure effective team communication. Requires proficiency with Microsoft Office 365, familiarity with project and contract documentation, and strong organizational skills; bilingual Spanish is a plus; willingness to undergo background checks and safety trainings; occasional travel to support training and meetings.
Required Qualifications
- Minimum of 2 years of experience in a business environment
- Proficient in Microsoft Office 365 (Word, Outlook, Excel, PowerPoint)
- Ability to read, write, speak, and understand English; bilingual in Spanish a plus
- Must pass background check, drug screen, and motor vehicle records check
- Strong communication and organizational skills
- Ability to work independently and as part of a team
- Deadline-driven; Urgency is Essential
- Safety training and certifications up to date or scheduled
- Flexibility for minimal travel for training/meetings
