Project Management Lead, Executive Operations

Job Summary
Manage executive calendars, meetings, and administrative workflows to support efficient day-to-day operations. Review employee requests and expense submissions for policy alignment and compliance. Maintain reporting pages, business documentation, and presentation content for executive needs. Lead operational initiatives including migration efforts, compliance updates, billing activities, and account maintenance processes. Coordinate onboarding activities for new associates, including system access setup and training schedules. Prepare recurring reports, financial overviews, root cause updates, and variance tracking. Partner with cross-functional teams to track deliverables and resolve issues. This role is on-site 3-4 days and requires a computer and audio equipment. Applicants must be legally authorized to work in Canada; visa support is not offered.
Required Qualifications
- 5+ years of experience in executive administration, operations management, project management, or a related hybrid role
- 5+ years of experience leading cross-functional projects and initiatives using Agile, Waterfall, or similar project management methodologies
- 5+ years of experience supporting senior leaders, including calendar management, meeting coordination, expense administration, and executive-level operational support
- 4+ years of experience utilizing Microsoft Office Suite (Excel, PowerPoint, Outlook, and Word), CRM platforms, and business reporting tools
- 4+ years of experience preparing reports, maintaining dashboards, and analyzing operational or business performance metrics
- 4+ years of experience managing compliance-related activities, documentation control, policy adherence, and process improvement initiatives
- Demonstrated success managing multiple priorities simultaneously, with strong communication, organizational, problem-solving, and stakeholder management skills
- 3+ years of equivalent combination of educational background, related experience, and/or military experience
- This role is on-site 3-4 days

Desired Qualifications
- Experience with eCRM reporting and related data validation processes
- Experience supporting merchant services, payments, or financial technology operations
- Experience coordinating TD Migration or other large-scale business transition initiatives
- Experience managing legal documentation updates, including contract amendments and addendums
- Experience working with Clover, CH, Commerce Control, Tasq Web, MDSS, or similar internal platforms
