Job Summary
Schedule repairs and maintenance at all facilities by completing repair requests, assessing problem severity, and coordinating with vendors to ensure resolution. Manage branch and building key systems by certifying the DOM key system annually and maintaining accurate logs in conjunction with the Branch Review Department. Audit invoices and payment requests, verify vendor contracts and insurance certificates, and monitor sublease income while preparing general ledger entries for month-end processing. Additionally, monitor PG&E statements, allocate building expenses, file unclaimed property reports, and provide secretarial support including mail distribution and document filing.
Required Qualifications
- Progressively more responsible administrative support experience in a real property/facilities environment
- Broad working knowledge of assigned activities in a real property/facilities environment
- General office machines skills
- Personal computer proficiency
- Excellent communications skills, verbal and written
- Mathematical skills for budget and analysis of various invoices and bills
- Analytical abilities for tasks including competitive analysis and contract reviews
- Ability to handle multiple tasks simultaneously and prioritize urgent versus routine requests
- Ability to meet deadlines and work under pressure
- Ability to prioritize tasks when projects are required from various vendors
- Allocation of expenses to ensure costs are charged to correct accounts and budgets are balanced
