Job Summary

Support Project Managers in the planning, coordination, and execution of large capital projects by monitoring activities and ensuring deliverables, milestones, and commitments are completed on schedule. Maintain project schedules, action item logs, decision logs, risk registers, and deliverable trackers while managing submittal logs and coordinating reviews, approvals, and distribution. Coordinate with vendors and suppliers on quotations, purchase orders, delivery schedules, and outstanding action items to assist with procurement and logistics activities. Prepare project status reports, progress updates, meeting agendas, and minutes, and facilitate communication among stakeholders. Assist with commissioning, startup, and construction-related activities as required, while leveraging AI-enabled tools to improve efficiency. Occasional travel may be required.

Required Qualifications

  • Associate's or Bachelor's degree in Business, Engineering, Construction Management, Project Management, or a related field, or an equivalent combination of education and relevant experience
  • Minimum of two (2) years of experience in project coordination, project administration, procurement support, document control, construction administration, or a related project support role
  • Strong organizational, planning, and time-management skills with exceptional attention to detail
  • Excellent verbal and written communication skills
  • Proven ability to manage multiple priorities, coordinate competing deadlines, and drive action items to closure
  • Proficiency with Microsoft Office 365 applications, including Excel, Word, Outlook, Teams, Project, and SharePoint
  • Working knowledge of project management processes, including scheduling, budgeting, procurement, submittals, and document control
  • Ability to establish effective working relationships with project managers, engineers, vendors, subcontractors, and clients
  • Strong problem-solving skills and a proactive, customer-focused mindset
  • Demonstrated ability to effectively utilize AI-enabled productivity tools such as Microsoft Copilot or similar platforms to improve efficiency and project execution
  • Experience leveraging AI tools for meeting summaries, action-item tracking, project reporting, document review, data analysis, and project communications
  • On Site: Plano, TX
  • Occasional travel may be required to support project meetings, client engagements, vendor coordination, construction activities, commissioning efforts, and other project-related requirements
  • Travel frequency will vary based on project location, complexity, and business needs
  • Undergo additional background screens and/or drug/alcohol testing for customer credentialing

Desired Qualifications

  • Experience supporting industrial, manufacturing, water/wastewater, semiconductor, construction, EPC, or infrastructure projects
  • Project management coursework, training, or certifications (e.g., CAPM, PMP, or equivalent) are considered an asset
