Job Summary

Monitor and triage the Project Manager's email inbox daily, drafting responses, flagging critical items, and following up on outstanding threads. Track action items from emails, meetings, and project reviews to completion, while maintaining an up-to-date status log across all active projects including deadlines and deliverables. Assist in checking active jobs by confirming schedules, following up with field crews and clients, and supporting proposal development through drafting scopes of work and assembling packages. Serve as the first point of contact for CAD and field technicians, routing or answering day-to-day questions to prevent bottlenecks. Coordinate scheduling for meetings and site visits, prepare project correspondence, and identify process gaps to recommend improvements. This role combines office-based administration with technical survey familiarity to support a Senior Project Surveyor managing high-volume concurrent survey projects.

Required Qualifications

  • 2–5 years of experience in project coordination, administrative support, or a related role
  • ideally within surveying, engineering, architecture, or construction
  • Strong written communication skills
  • ability to draft clear, professional emails and correspondence
  • Excellent organizational skills
  • demonstrated ability to manage multiple priorities and deadlines simultaneously
  • Proficiency with Microsoft Office (Outlook, Word, Excel)
  • comfort learning project tracking tools
  • Ability to work independently
  • exercise sound judgment
  • know when to escalate versus resolve directly
  • Background in surveying
  • education, field/office experience, or related coursework
  • sufficient to understand survey terminology
