Job Summary
Support project managers with daily coordination activities, including scheduling meetings, tracking action items, and following up on open tasks. Prepare and maintain project documentation, reports, trackers, and status updates while coordinating communication between customers, contractors, and internal stakeholders. Help track project milestones, schedules, risks, and deliverables, and assist with material, equipment, and documentation coordination as needed. Support project closeout activities, including turnover documentation and required project files, and help identify missing information or potential delays. Maintain accurate project information in company systems and reporting tools to ensure project visibility and timely completion.
Required Qualifications
- High School Diploma or equivalent
- 2+ years of experience in project coordination, project administration, customer service, or related field
Desired Qualifications
- Experience supporting construction, fire alarm, security, low voltage, or commercial building system projects
- Experience with project management software, CRM tools, or reporting platforms
- Familiarity with Salesforce, Fieldwire, Bluebeam, or similar tools
- Ability to read and understand basic construction drawings, schedules, or project documentation
- Project coordination or project management training is a plus
- Strong computer skills, including Microsoft Office, Outlook, Teams, Word, and Excel
- Strong communication, organization, and documentation skills
- Ability to work in a fast-paced environment and manage multiple priorities
- Ability to follow up on action items and support project deadlines
- Experience working with internal teams, contractors, or customers
