Job Summary
Manage project records, track key deliverables, and coordinate communication with subcontractors and internal teams to ensure documentation is accurate and complete. Assemble contracts, purchase orders, owner pay requests, and legal documents required for project start and completion. Verify subcontractor prequalification, prepare meeting agendas, transcribe minutes, and draft correspondence. Monitor CMIC workflow for subcontract approvals, prepare change orders, and disburs payments to compliant subcontractors upon team approval. Coordinate planning for project milestones including permitting and closeout. Maintain required documents for OCIP or CCIP programs and conduct periodic audits of executed contract documents.
Required Qualifications
- High school diploma or equivalent
- Types a minimum of 50 wpm
- At least 2 years' experience in secretarial or administrative work
- Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook
- Ability to create and edit legal documents and spreadsheets using each application
- Excellent written and verbal communication skills
- Excellent organization skills
- Ability to handle multiple tasks simultaneously
- Ability to establish priorities and an effective course of action
- Ability to accomplish routine tasks
- Team player mindset
- Ability to perform essential duties and responsibilities efficiently, accurately, and safely, with or without reasonable accommodation, and without posing a threat of harm to self or others
Desired Qualifications
- Previous experience working in an administrative role in a construction company
- Knowledge of basic work methods, techniques and systems used by Layton Construction
- One to two years post high school administrative assistant training
- Prior construction industry experience
