Job Summary
Project Administrator will provide key support to architectural project teams and the Architectural Operations Department to coordinate projects efficiently. Responsibilities include scheduling and attending project team meetings, preparing agendas and meeting notes, tracking action items, assisting with document management and distribution of project deliverables, preparing and reviewing fees and billings, acting as liaison with Accounting, providing construction administration support (RFI/submittal logs, site photos), managing the project calendar, coordinating samples and drawing sets, coordinating with project team members, consultants and contractors to meet deadlines, maintaining firm data and knowledge management, and traveling to local job sites as needed. The role also involves championing office standards, sharing lessons learned, and performing other duties as assigned. Candidates should have 3+ years of relevant experience, a degree in Architecture/Design or equivalent, proficiency with Microsoft Office and Google Workspace, strong communication skills, meticulous attention to detail, and the ability to work both independently and as part of a team. The position is based in the San Francisco office with a hybrid schedule after onboarding.
Required Qualifications
- 3 or more years of related professional experience in an office environment
- Associates or Bachelor's degree in Architecture, Design or similar field preferred or equivalent working experience
- Proficiency with technology, Microsoft Office and Google Workspace apps; MacOS
- Ability to travel to local job sites during Construction
- Strong communication skills (verbal and written) and attention to detail
- Ability to work independently with good judgment and teamwork orientation
- Experience in architecture, design, or construction firms is desirable
- Detail-oriented and capable of producing accurate, complete work on time
- Respect for confidentiality and discretion of sensitive information
