Job Summary

Project Administrator II to manage custom-engineered equipment orders from contract initiation through delivery; serves as central coordinator between customers and internal teams to ensure projects are executed on time, within scope, and in alignment with contractual requirements. You will drive customer satisfaction, maintain clear communication, and support successful project execution across engineering, manufacturing, and testing. Responsibilities include reviewing and organizing contractual documentation for order entry and kickoff, entering project details (specifications, shipping terms, warranty, scheduling), determining appropriate manufacturing location, cross-functional coordination with Engineering, Planning, Purchasing, Manufacturing, Quality, and Sales; leading and participating in internal/external project meetings; coordinating design reviews and approvals with customers; serving as primary customer contact throughout the project lifecycle; providing regular updates on status, schedules, and deliverables; hosting customer visits, inspections, and testing activities; evaluating change requests against scope; coordinating internal review of changes and cost/schedule impact; negotiating scope, pricing, and lead-time adjustments; issuing formal change notices; developing detailed project schedules and tracking tools; coordinating order release to manufacturing; monitoring progress and proactively addressing risks; supporting purchasing and logistics; coordinating customer-supplied materials and shipping requirements; adhering to ISO 9001.

Required Qualifications

  • Bachelor’s degree in engineering, Business, or related field preferred
  • 5+ years of experience in project coordination, contracts administration, or manufacturing environment preferred
  • Strong organizational and project management skills
  • Excellent communication and stakeholder coordination abilities
  • Ability to read and interpret technical documents and contracts
  • Problem-solving mindset with strong attention to detail
  • Ability to manage multiple projects and priorities simultaneously
