Job Summary
Issue and track invitations to bid, manage distribution of bid-related documents, and assist in proposal preparation. Prepare and distribute AIA contracts, job set-up documents, and preliminary notices. Request subcontractor insurance, review licenses, and issue and track change orders and purchase orders. Prepare meeting minutes, track owner change orders, update budget reports, and process subcontractor billings. File lien releases and create project closeout manuals. Requires three years of project administration experience, AIA document familiarity, and proficiency in Microsoft Office and Procore. Non-exempt position subject to overtime.
Required Qualifications
- At least three (3) years experience as a Project Administrator, Project Coordinator or similar role
- A high school diploma or equivalent
- Ability to communicate both verbally and in writing in a professional manner
- Good judgement and ability to follow instructions and procedures
- Familiarity with plans and project specifications
- Working knowledge of Microsoft Excel, Outlook, Word, Adobe, and similar office software
Desired Qualifications
- Construction background and familiarity with AIA documents
- Accounting, billing/ invoicing experience
- Associate's degree or some college credit in a related field
- Procore or similar project management software experience
