Job Summary
Organize and maintain project billing records, including requesting new job numbers, updating spreadsheets, and closing work tickets. Type, prepare, and distribute memos, reports, calendars, schedules, and meeting minutes to facilitate day-to-day project administration. Process project contracts through the Contracts Department and coordinate special meetings and training on an as-needed basis. Provide word processing and spreadsheet support for managers while assisting in collecting outstanding invoices. Maintain a professionally organized office environment and manage project billing and contract maintenance books.
Required Qualifications
- High school diploma
- Excellent communication skills
- Ability to maintain a high level of trust and confidentiality with sensitive items
- Positive attitude and the ability to work with and learn from others
- Computer skills to include: word processing and spreadsheet applications
- Interpersonal skills to effectively communicate with both internal and external customers
- Skill in organizing and establishing priorities
- Excellent attention to detail
- Ability to work independently
- Ability to handle multiple tasks and prioritize workload accordingly
Desired Qualifications
- Knowledge of the Construction industry
- Experience with MS Suite
- Experience using COINs
- Experience with Schedule of Values (AIA docs)
- Project management assistant experience
- Accounting experience
