Job Summary
Prepare and process monthly client invoices for transportation, land development, and infrastructure projects while maintaining accurate financial records in the ERP system. Support approximately 15-20 Project Managers by reviewing contract compensation structures, billing methods, and budgets to ensure compliance with negotiated requirements and agency-specific formats. Monitor accounts receivable, track outstanding invoices, and coordinate collection efforts, while assisting with accounts payable activities for subconsultants and vendors. Utilize Microsoft Excel extensively to reconcile complex billing calculations and resolve invoice discrepancies. Recurring four-week billing cycles require managing competing priorities to meet deadlines.
Required Qualifications
- 0-4+ years of related accounting, project billing, or finance experience, preferably within the Architecture, Engineering, and Construction (AEC) industry or another project-based professional services environment
- Associate's degree in Accounting, Finance, Business Administration, or a related field required
- Experience preparing client invoices, reviewing contract billing requirements, and supporting project financial administration
- Experience working with ERP, project accounting, or invoicing systems required
- Strong Microsoft Excel skills required, including the ability to work with formulas, spreadsheets, reconciliations, and billing support documentation
Desired Qualifications
- Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred
- Experience with Deltek Vantagepoint is strongly preferred
- Experience assisting with project setup, billing terms, budgets, fee structures, and project financial data is preferred
- Experience supporting accounts receivable activities, including invoice tracking, collections, aging reports, and payment reconciliation, is preferred
- Strong technical aptitude and the ability to learn new financial systems and software quickly
