Program Coordinator, Long Term Partnership

Job Summary

Manage data tracking and maintenance for Artists and program partners across all five boroughs by generating, collecting, and updating records including timesheets, contracts, and budgets. Process art supply orders, track budgets, and assist Artists with navigating supply options. Track Artist time, approve biweekly timesheets, and support the timesheet system. Assist in scheduling program components such as teaching days, meetings, trips, and workshops. Attend Start Up Meetings, take notes, and coordinate next steps. Write and manage correspondence to Artists and sites, including mailings and invitations. Handle high volume of communication from internal staff and external partners. Conduct periodic visits to partnership sites. Support ongoing program specific Artist Training by scheduling, reaching out, and preparing materials. Organize, edit, and format program planning, documentation, and evaluation tools. Compile statistics, draft language, and generate presentations for outreach and reporting. Assist with design, implementation, and analysis of program assessment results. Work occasional early mornings or evenings to support school partners and assist with trainings and events.

Required Qualifications

  • Non-exempt, full-time position
  • Member of United Autoworkers Union Local 2110
  • High proficiency in using Microsoft and Google Suites
  • NYC Public Schools Fingerprint and Background Check Clearance upon employment
  • Required to work at least 2 days per week in our office at 75 West End Avenue, New York, NY
  • Required to work at least 2 days per week in the field at partnership sites
  • Work from 9 AM to 5 PM each workday
  • Willingness and ability to work occasional early mornings or evenings

Desired Qualifications

  • Bachelor's degree in Visual Art, Art Education, Art History, or a relevant field
  • Minimum of one year of related work experience
  • Experience communicating and working with multiple vendors, partners, and/or stakeholders
  • Experience in art education, nonprofit organization or related role
  • Experience with Salesforce
  • Commitment to the mission of Studio in a School
  • Extremely organized, attentive to detail, and able to work independently and effectively while juggling multiple tasks
  • Strong writing and editing skills
  • Strong ability to set up efficient systems and processes to track various aspects of the program
  • Strong work ethic with an appreciation for deadlines
  • Project management skills and follow-through
  • Self-motivation, assertiveness, positive demeanor, and willingness and ability to work in a collaborative team environment
  • Excellent interpersonal and written communication skills and a pleasant phone demeanor
  • Willingness to persistently communicate via email, phone, text, etc.
