Job Summary
Program Coordinator to support the AAAS Council and Multidisciplinary Working Group (MWG) initiatives. Responsibilities include coordinating day-to-day operational activities for meetings (virtual, hybrid, and in-person), scheduling and drafting agendas, preparing briefing materials, drafting summaries/minutes, conducting biographical research on nominees, managing volunteer data and forms, producing written outputs and mission-aligned reports, providing administrative support to the Director of Strategic Initiatives, assisting with volunteer management and inquiries, coordinating dissemination materials and event promotion, travel coordination, and performing backup operational support. Travel less than 5% for Annual Meeting and events. Minimum qualifications include a Bachelor’s degree and 2-3 years of experience in a related setting; preferred qualifications include experience supporting executive leadership and travel/expense management.
Required Qualifications
- Bachelor’s degree or combination of education and experience demonstrating necessary skills and expertise
- 2-3 years of work experience in an office/non-profit/membership association setting
- strong organizational and project management skills
- excellent verbal, written, and interpersonal skills
- meticulous attention to detail and proofreading
- ability to work collaboratively in a team
- discretion and handling of confidential information
- experience with Microsoft Office (including mail merges), Salesforce, Adobe Acrobat, Zoom, AirTable, Dropbox, and cloud-based platforms
