Job Summary
Program Assistant for the Arts and Culture team at the Mellon Foundation. Provides programmatic and logistical support to the Senior Program Associate, Program Director, and broader Arts and Culture group. Key duties include grants management (liaison with grantees, building grant portfolios, tracking proposals in Fluxx, reviewing reports, communicating progress), coordinating with other departments, and facilitating timely delivery of grant information. Administrative responsibilities cover filing, scheduling, reporting, information gathering for new grant initiatives, and supporting convenings and events. Requires a bachelor’s degree (or equivalent) and 1-3 years of relevant experience, with strong written communication, organizational, and problem-solving skills; proficient in MS Office and Adobe; familiarity with nonprofit/grants administration; and an interest in arts, culture, and humanities. The role is hybrid with at least three days per week in-person at the Manhattan offices.
Required Qualifications
- Bachelor’s degree (preferably in the arts or humanities) or equivalent combination of education and experience
- 1-3 years of relevant professional experience
- Strong interest in the arts, culture, and humanities
- Familiarity with literary arts and experience with literary arts organizations (nonprofit presses/publishers, poetry/book festivals, residencies, fellowships, reading series)
- Ability to manage multiple projects and work effectively in a team
- Self-starting, proactive, problem-solving orientation
- Superior written communication, analytical and organizational skills, and attention to detail
- Proficiency with MS Office (Excel, PowerPoint, Word) and Adobe Suite; ability to learn new applications
- Experience in a not-for-profit environment and/or grants administration
- Ability to read and understand organizational budgets/financials
