Job Summary
Coordinate office administrative operations, including drafting executive documentation, managing travel schedules, and processing personnel leave requests. Prepare meeting agendas, distribute communications, and maintain SharePoint databases while tracking action items and overdue tasks. Assist with program support by analyzing reports, creating presentations, and facilitating cross-organization liaison activities. Manage classified and unclassified documents, coordinate digital video conferences across time zones, and process electronic country clearance requests. Maintain Outlook calendars, track fleet usage, and support senior management with data analysis and policy documentation.
Required Qualifications
- High school diploma
- Minimum of five years office experience and experience supporting high level officials
- 4 years of directly related administrative and technical experience
- Active Secret clearance
- Knowledge of office management systems and procedures
- Experience with EZ and E2 Travel Systems
- 2-5 years of experience managing Federal travel
- Experience with Federal Travel Systems
- Intermediate level knowledge of Federal Travel Regulations (FTR) and Joint Travel Regulations (JTR)
- Thorough understanding of travel policies and regulations, CONUS and OCONUS
- Ability to pass a background check
- Excellent time management skills and ability to multi-task and prioritize work in a fast-paced office environment
- Excellent customer service skills
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills
- Proficiency in MS Office and Teams, ZOOM, and WebEx platforms
- Ability to use a computer and other office productivity tools with sufficient speed to meet the demands of this position
- Ability to establish a productive and professional workspace
- Ability to sit for long periods of time looking at computer screen
- Must be physically and mentally able to perform duties extended periods of time
- Must be able to work a flexible schedule which may include holidays
- Must be able to travel for business or professional development purposes
- Must be able to work hours outside of normal business hours
