Program Assistant

Job Summary
Provide comprehensive administrative support to multiple principals in the Ethiopia office, including complex calendar management, international travel coordination, visa processing, expense reporting, correspondence, and meeting preparation. Partner with principals to manage priorities, track commitments, coordinate events and meetings, maintain records, and support knowledge management. Serve as a liaison with internal and external partners, manage logistics and communications, and leverage AI/digital tools to streamline workflows and enhance efficiency. Support program strategy teams and leadership during in-country engagements and ensure smooth operation of the Ethiopia Country Office in Addis Ababa.
Required Qualifications
- Bachelor’s degree with at least 3 years of experience providing executive or administrative support to senior leaders
- Proven ability to manage multiple priorities in a fast-paced setting
- Excellent interpersonal, verbal, and written communication skills in English and Amharic
- Ability to handle confidential information with discretion, navigate ambiguity, and work across cultures and time zones
- Strong collaboration skills and ability to work independently and as part of a team
- Experience with Microsoft Office Suite (Word, Outlook, Excel, PowerPoint, SharePoint)
- Experience with AI tools such as Microsoft Copilot and ChatGPT is highly desirable
- Knowledge of the Ethiopian business environment and familiarity with the Gates Foundation’s priorities is an advantage
- Must be able to legally work in the country where this position is located without visa sponsorship
- Willingness to travel up to 15% of the time
