Job Summary
Conduct clerical support for Crisis and Outpatient teams by handling incoming calls, managing client appointments, and maintaining records. Complete program filing and scanning, compile data reports, and manage travel documentation and expenses. Attend team staffings to record minutes and update trackers, while assisting with the development of informational materials. Check office equipment and supplies to ensure availability for team use. Represent the agency at community meetings as directed and provide administrative support to lead managers. Maintain a positive team atmosphere and manage project deadlines using Microsoft Word, Excel, and Electronic Medical Record systems.
Required Qualifications
- High school diploma or GED
- 1 year experience in office or administrative work
- Valid Washington State driver's license
- Minimum required liability insurance for WA State
- Must be deemed insurable as determined by Catholic Charities' liability insurance provider
- Being cleared by criminal background check and fingerprinting
- Detail-oriented and able to manage multiple-line telephone system in a busy office setting, which requires multi-tasking
- Ability to maintain a professional, positive, team-oriented service attitude toward clients and staff at all times
Desired Qualifications
- Associate degree in business administration or related field
- Bilingual (English/Spanish)
- Comfortable with computer programs, specifically Microsoft Word and Excel with the ability to efficiently learn and navigate Electronic Medical Record (EMR) systems
- Experienced in use of standard office equipment, including copier, fax, answering machine, postage meter, and calculator
