Program Assistant

Job Summary
Answer phones, emails, and general inquiries from clients, staff, and community partners while scheduling appointments, meetings, and program-related events. Maintain calendars and program schedules, prepare correspondence and reports, and assist staff with client case preparation and administrative tasks. Obtain preliminary information from walk-in and phone clients, provide referrals to community resources, and ensure accurate filing systems and confidential program records. Track, monitor, and follow up on multiple assignments, projects, and deadlines. Maintain organized filing systems and accurate program records while ensuring compliance with reporting requirements. Respond appropriately to cultural differences among the service population and demonstrate the agency's mission with staff, clients, and partners.
Required Qualifications
- Minimum of three years of administrative experience
- Proficiency with Microsoft Office Suite and database systems
- Strong oral and written communication skills
- Ability to communicate and work effectively with diverse clients, staff, and community partners
- Must be able to work independently with minimal supervision and effectively interact with the public
- Bilingual in English and Spanish
- High School Diploma or GED
- Associate degree in Business Administration, Human Services, Social Services, or a related field, or an equivalent combination of education, training, and relevant experience
- Must pass a state-enforced background check
