Program Administration Specialist

Job Summary

Prepare, review, and track Person-Centered Plan documentation for completeness and accuracy while supporting coordination of PCP meetings and follow-up. Monitor required documentation including service notes, behavioral and ABC data, incident reports, nursing care plans, MARs, and sleep tracking logs. Conduct routine documentation reviews and audits to identify missing, inconsistent, or late entries, then follow up with program staff. Maintain tracking logs and compliance dashboards, assist with staff training on documentation standards and system use, and collaborate with Program Directors and QA staff to resolve issues. Support preparation of reports for management and leadership review.

Required Qualifications

  • High School diploma
  • Minimum three to five years of experience in healthcare, behavioral health, or developmental disabilities services
  • Hands-on experience with service documentation, audits, or compliance monitoring
  • Familiarity with Person-Centered Planning processes and service authorization documentation
  • Working knowledge of DDA and COMAR documentation requirements
  • Ability to follow established documentation workflows and escalate issues appropriately
  • Proficiency with electronic health record systems
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office Suite

Desired Qualifications

  • Bachelor's degree in Healthcare Administration, Public Administration, Human Services, or related field
