Job Summary
Manage calendars, schedules, and meetings for the Geotechnical Division Manager while coordinating divisional projects, action items, and deadlines. Prepare, review, and maintain correspondence, reports, project documentation, and presentations, ensuring accurate digital and physical filing systems. Coordinate communication between field crews, project managers, clients, subcontractors, and internal departments, arranging meetings, preparing agendas, and recording minutes. Assist with project setup, documentation control, proposal preparation, contracts, and divisional reporting. Support onboarding, training coordination, and general office organization including supplies and scanning.

- Exceptional attention to detail and ability to maintain confidentiality
- Excellent verbal and written communication skills
- Proven ability to prioritize multiple tasks and adapt to changing priorities
- Self-motivated with the ability to work independently and collaboratively within a team environment
- Strong computer skills, including Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, and Teams)
- Professional demeanor with strong interpersonal and stakeholder relationship-building skills
Desired Qualifications
- Experience coordinating projects, schedules, or administrative functions in a project-based environment
- Experience in engineering, construction, geotechnical, drilling, or other industrial sectors
- Experience with document management systems and business software platforms
- Administrative Assistant Certificate, Business Administration Diploma, or equivalent education and experience
- Post-secondary education in business administration, project coordination, or a related field
