Job Summary

Own the day-to-day coordination and execution of production assignments, ensuring timelines, task management systems, documentation, and communications remain current throughout the project lifecycle. Coordinate production for NEW INC's year-round hybrid program, including public programs, internal community events, meetings, workshares, showcases, and the annual DEMO festival. Manage event logistics from planning through completion, including technical production, vendor coordination, load-ins, materials orders, catering, and pack-down. Serve as the primary point of contact for production vendors, suppliers, and venue representatives while maintaining accurate Asana boards, budgets, runs of show, and vendor trackers. Provide regular project status updates, communicate potential delays early, and escalate risks before they impact production timelines. Review applications for membership with the rest of the NEW INC team.

Required Qualifications

  • 2-4 years of production and event management experience (exhibition, performing arts, festival, art/design/tech fairs, panels, or symposiums)
  • Exceptional organizational skills with strong attention to detail and a commitment to maintaining accurate project documentation
  • Experience maintaining project management systems (Asana or equivalent) for multiple stakeholders
  • Ability to maintain and advance multiple production timelines and deadline-driven projects at the same time
  • Demonstrated experience coordinating teams of vendors, including production labor, audiovisual or documentation providers, and food/beverage providers
  • Experience with virtual and hybrid event production
  • Comfortable and confident in taking autonomous ownership over tasks within purview and are always anticipating the next move, striving to improve systems and processes at every turn
  • Ability to convey and transmit information between leadership, colleagues, and external partners in a succinct and clear way
  • Proven ability to identify risks early, communicate obstacles proactively, adjust project plans before deadlines are impacted
  • Strong follow-through and accountability for completing work from initiation through execution
  • Understanding of industry partnership structures, stakeholders, and relationship-building
  • Ability to apply discussed measures of success and programming priorities to production management
  • Proficiency in Asana, Zoom, WordPress, Mailchimp, and Microsoft Suite, and OneDrive is essential
  • Must be able to lift 50 lbs
