Procurement Contract Specialist

Job Summary

Develop and maintain procurement plans that align with project timelines and organizational objectives. Collaborate with department managers to define project specifications, scope, and milestones. Prepare Requests for Proposals (RFPs) by including scope of work, bill of quantities, schedules, and draft contracts to verify document accuracy. Analyze proposals, evaluate data for accuracy, create comparative charts, and perform price analysis to make final recommendations. Facilitate contract negotiations between vendors, requesting departments, legal, and executive teams. Create contractual documents using approved legal templates and ensure compliance with applicable laws and company policies. Negotiate with subs, vendors, and suppliers to secure the best price and value. Create comparatives in the Insite system to assign vendor accounts for payment and manage account transfers. Submit final approved draft contracts and change orders for internal approvals. Analyze the need for change orders, perform quote comparisons for materials, and suggest vendors that better fit construction needs and production timelines. Maintain accurate records of all procurement tasks, generate subcontractor evaluation and contract summary reports, and implement corrective actions from audit reviews.

Required Qualifications

  • Bachelor of Science Degree in Business Administration, Procurement, Construction Management, or related field or equivalent
  • Minimum of three (3) years of experience in procurement, contract management, sourcing, project management, or experience of progressive responsibility in similar positions
  • Experience managing RFP processes and contract negotiations
  • Experience developing and administering procurement and contractual documentation
  • Proficient skills in Outlook, Microsoft Word, Excel, PowerPoint and Microsoft Project
  • Excellent written and verbal communication skills
  • Strong understanding of procurement principles, sourcing methodologies, and contract management practices
  • Knowledge of competitive bidding and supplier evaluation processes
  • Excellent project management, organization, and time management skills
  • Ability to pay close attention to detail, ensuring accuracy of work & complete tasks on time and follow department procedures
  • Present solutions to manager for issues/problems & scope requiring through knowledge of department practices
  • Remain operationally focused and obtain knowledge of the organization to balance business priorities, individual team needs, manager's style and company policy
