Private Pay Staffing Coordinator

Job Summary

Manage daily staffing needs for private pay clients by coordinating caregiver placements based on client preferences, care needs, and geographic location. Partner with intake and operations teams to ensure smooth client transitions, while communicating schedule updates, caregiver introductions, and service concerns to clients and families. Maintain strong relationships with caregivers to support engagement and retention, and assist with recruitment and onboarding efforts including documentation and compliance. Monitor schedules proactively to address coverage gaps, call-outs, and availability issues, ensuring accurate assignments and timely staffing changes. Track staffing metrics, open cases, and utilization trends to communicate updates to leadership and partner with payroll for accurate reporting. Ensure compliance with HIPAA regulations and company policies while resolving client and caregiver concerns.

Required Qualifications

  • Proven experience as a Staffing Coordinator, Scheduler, Care Coordinator, or similar position
  • Ability to coordinate multiple client staffing needs simultaneously
  • Strong attention to detail and ability to follow through on assignments
  • Ability to build and maintain positive relationships with clients, families, caregivers, and internal teams
  • Proficient computer skills and ability to utilize scheduling, HRIS, and database systems
  • Excellent written and verbal communication skills
  • Demonstrated ability to problem solve and provide timely solutions
  • Ability to work in a fast-paced, client-focused healthcare environment
  • Commitment to providing an exceptional private pay client experience

Desired Qualifications

  • Experience working in private duty home care, home care staffing, healthcare operations, or a related environment
  • Knowledge of caregiver staffing practices and home care operations
  • Experience coordinating PCA/HHA caregivers
  • Strong customer service and relationship management skills
  • Excellent organizational and time-management skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong communication, problem-solving, and decision-making skills
  • Ability to work independently while collaborating with multiple departments
  • Maintains professionalism and confidentiality when handling client and employee information
  • Bachelor's degree in Healthcare Administration, Business Administration, Human Resources, or related field
