Job Summary

Manage the Endoscopy Center scheduling system by booking appointments with providers, triaging phone calls, and taking messages on appropriate forms. Provide patients with accurate preparation instructions for procedures and ensure prep information is sent timely. Maintain hospital records, paperwork, and medical files while ensuring compliance with confidentiality policies and attendance standards. Identify barriers to patient care and coordinate with the medical records department for missing records. Facilitate endoscopy paperwork and assist the billing coordinator with appointment authorizations and charge entry. Perform duties at the 850 Boylston site or offsite locations, including varied hours when advanced notification is provided.

Required Qualifications

  • High school diploma or GED
  • A minimum of one year of applicable work experience
  • Knowledge of practice operations and standards
  • Understanding of procedures including filing, copying, scanning, printing, and faxing
  • Ability to use phone system (answer and screen calls, put on hold)
  • Ability to interpret information as appropriate
  • Ability to answer routine questions in the most professional manner
  • Ability to communicate professionally, courteously, clearly, and concisely
  • Ability to manage work processes neatly and orderly
  • Ability to sort and alphabetize
  • Ability to manage multiple tasks effectively
  • Ability to follow established protocols

  • Knowledgeable and compliant with all hospital, State, and Federal requirements (where applicable to job performance), including policy and procedures with The Joint Commission and HIPAA
  • Ability to function effectively in a fast-paced and challenging environment with a large group of physicians involved in academic work and patient care
  • Ability to demonstrate sound judgment
  • Ability to respect strict confidentiality of patients and medical information and records
  • Ability to respond to the needs and provide assistance to others when called upon
  • Ability to receive and direct all incoming calls politely, identifying the Endoscopy Center and stating name
  • Ability to accept any assignment in accordance with departmental needs by performing work duties at our main hospital location, our 850 Boylston site, and/or offsite
  • Ability to work varied hours for start/end of workday when advanced notification is provided
  • Ability to assist others when necessary or when assistance is apparent
  • Ability to acknowledge that all duties are shared to promote efficiency in the overall operations of the practice

  • Ability to follow up on any missing records, coordinating activities with the medical records department when necessary
  • Ability to maintain an accurate filing system to retrieve information when needed
  • Ability to facilitate paperwork needed for any endoscopy and physician call back for specific information/advice
  • Ability to assist the billing coordinator with appropriate and timely authorization for patients' appointments
  • Ability to facilitate proper disposition of all appointments daily to ensure prompt and accurate charge entry by the billing coordinator
  • Ability to maintain a positive and professional working relationship with all ambulatory personnel

Desired Qualifications
