Job Summary

Post-Award Management Specialist at Carnegie Mellon University, Office of the Vice President for Research (OVPR). Responsible for timely and accurate establishment and modification of sponsored project accounts after award execution or modification, award intake, validation, and account establishment; ensure readiness for financial activation and downstream post-award management. Independently manage complex sponsored research portfolios, serving as advisor to Principal Investigators and financial partners, ensuring awards are accurately represented, monitored, and maintained in the university’s systems (SPARCS, Oracle, HRS), and that post-award activity aligns with sponsor terms and institutional policy. Core responsibilities include award and account setup, reconciling budgets to awarded funding, documenting revised data in university systems, coordinating project structures, compliance validation, ensuring adherence to policies and federal requirements, data integrity in the eRA system, and providing guidance on account establishment timelines. Additional duties include servant as primary contact for departments and researchers, communicating missing documentation, generating performance reports, participating in process improvements, and supporting system enhancements. The role emphasizes adaptability and collaboration within CMU’s research administration environment and requires a proactive, detail-oriented approach to maintain financial integrity across sponsored programs.

Required Qualifications

  • Bachelor’s degree required
  • Five years of work experience
  • Experience in university sponsored projects administration, post/pre award management or research administration or some combination
  • Familiarity with federal sponsor regulations including Uniform Guidance and agency-specific requirements
  • Experience with systems such as Huron Research Suite, Cayuse, InfoEd, Kuali Research, Oracle, Workday, PeopleSoft, Banner, SAP, or similar platforms
  • Knowledge of sponsored project lifecycle management and post-award administration
  • A combination of education and meaningful experience from which comparable knowledge is proven may be considered
