Job Summary
Manage high-volume inbound and outbound communications across multiple channels, ensuring timely responses, clear documentation, and appropriate follow-up. Establish trust and rapport with prospective residents and current/former tenants through professional phone, email, and in-person interactions. Prepare the Portfolio Manager for meetings, presentations, and reports by gathering site staff information, taking notes, and drafting letters or memos. Analyze data, format information for reports, and compile materials for internal and external distribution while adhering to Oregon and Washington landlord-tenant and fair housing laws. Juggle multiple projects and inquiries with strong attention to detail in a fast-paced environment, utilizing management tools to promote harmonious relations among tenants, employees, owners, and the community.
Required Qualifications
- High school diploma or general education degree (GED)
- Three years working as a Administrative Assistant
- One year of administrative assistant experience
- Equivalent combination of education and experience
- Valid Driver's License and insurance
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals
- Ability to write routine reports and correspondence
- Ability to speak effectively before groups of customers or employees of an organization
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals
- Ability to compute rate, ratio, and percentage and to draw and interpret bar graphs
- Ability to apply commonsense understanding to carry out instructions furnished in written, oral, or diagram form
- Ability to deal with problems involving several concrete variables in standardized situations
- Ability to operate basic office equipment such as telephones, keyboards, 10 key, photocopier, and fax machine
