Job Summary
Partner with the Manager to manage all aspects of operations for the assigned portfolio, ensuring vacant space is market-ready and maintaining floor plans, logs, and stack plans. Coordinate lease approvals, track time-sensitive documents, and distribute property information to tenants while coding and tracking lease commission invoicing. Process weekly invoices and payables, resolve past due balances, and prepare monthly owner statements and annual CAM reconciliations. Dispatch vendors and contractors, respond to tenant concerns, and track insurance compliance. Prepare weekly inspection reports, maintenance contracts, and bid recommendations for the Manager. Make collection calls to delinquent tenants and draft demand notices as directed. Maintain a service-oriented rapport with owners and tenants while utilizing strong Excel and Office Suite skills.
Required Qualifications
- High School Degree or Equivalent
- 2+ years commercial property management experience
- PC literate (Internet, Word, Outlook, Microsoft Office Suite)
- Strong Excel skills
- Ability to speak, write and understand English
- Exceptional attention to detail
- Good communication and organizational skills
- Professional ability to build relationships with clients, vendors and internal partners
- Professional communication etiquette with good oral and written communication skills
- Demonstrated ability to prioritize, multi-task and utilize resources to execute tasks within a deadline-oriented environment
- Strong customer service skills with the ability to interface with prospective tenants, owners, employees, and management
- Demonstrated initiative and trouble shooting skills
- Demonstrated ability to recognize high quality maintenance work
- Demonstrated ability to draft quality, well written emails, reports and letters
