Job Summary
Portfolio Administration Specialist responsible for reviewing lease documents and maintaining critical location data within lease administration systems. Duties include reviewing and abstracting documents, performing quality-control data audits, ensuring proper document management for leased/owned properties, auditing CAM/insurance/Real Estate Tax reconciliations, processing monthly rents and related pass-throughs, managing subtenant rent and year-end reconciliations, and coordinating with internal/external partners. Responsibilities also cover handling client invoices, verifying calculations, resolving disputes with landlords, requesting insurance certificates, reviewing estoppels and SNDA agreements, maintaining landlord/subtenant relationships, and prioritizing portfolio objectives in a fast-paced environment. Knowledge of lease mechanics, data accuracy, and communication with clients and landlords is essential.
Required Qualifications
- Experience or familiarity with lease administration processes
- Ability to review and audit lease-related documents and data
- Proficiency in reconciling CAM, insurance, and real estate tax calculations
- Experience handling invoices, client communications, and landlord interactions
- Ability to manage multiple projects/priorities in a fast-paced environment
- Strong document management and data accuracy skills
- Familiarity with estoppels, SNDA agreements, and subtenant processes
