Job Summary
Proactively manage complex diaries for partners and fee earners, answer telephone calls, and organize internal and external meetings. Liaise with clients via email, telephone, and in person while assisting with billing, credit control, and finance tasks including payments and cheque requests. Coordinate document production, file management, and travel arrangements, and oversee the client and matter inception process. Ensure accurate use of the client relationship management tool for matter tracking and maintain up-to-date client records. Submit partner and fee earner expenses on time and manage official document production including bundles, court papers, and e-filing. Work flexibly with high confidentiality and attention to detail in a hybrid environment after initial training.

- Ability to generate accurate billing reports, draft bills, and accompanying letters
- Ability to assist fee earners with finance tasks including requesting cheques, CHAPS/BACS payments, bank transfers and paying in money received
- Ability to ensure accurate and timely use of client relationship management tool
- Ability to maintain up to date client records on the firm's client relationship management tool
- Ability to co-ordinate fee earner movements and make travel arrangements
- Ability to manage the client and matter inception process
- Ability to manage the process of submitting partner/fee earners expenses
- Ability to co-ordinate the completion of document production including digital dictations/manuscript amendments, e-filing and file management
- Ability to manage the production of official documents including bundles, court papers, and relevant documents
- Ability to liaise with the Courts/Tribunals
- Ability to actively participate in all relevant training
- Ability to demonstrate flexibility with working practices/processes
- Ability to work effectively with other legal and support departments
- Potential for Hybrid working after 3 months (3 days office based, 2 days home based)
