Job Summary
Role: Personal Assistant to the Program and Deputy Program Medical Director, Specialty Medicine. Based at Monash Medical Centre in Melbourne, this full-time fixed-term role (up to 1 year as a parental leave position) provides high-level administrative support, coordinating office communications, managing diaries and meetings, and preparing agendas, minutes, reports, and documents. Requires experience as an Executive/Personal/Administrative assistant at a senior management level, advanced Microsoft 365 skills (SharePoint, Outlook, Word, Excel, PowerPoint), strong written and verbal communication, initiative, teamwork, and strong organisational abilities; knowledge of hospital administrative processes and systems (UKG, Oracle, BEIMS, Riskman, E-Hub) is desirable. Required Qualifications
- Previous experience working as an Executive, Personal or administrative assistant at a senior management level
- Advanced knowledge in computer software applications (M365 including SharePoint, Outlook, Word, Excel, PowerPoint)
- Proficient in the use of broad technical or administrative processes through a number of years of experience in the field or to be a tertiary graduate with a number of years’ experience in the field
- Excellent customer service skills and a high standard of both written and verbal communication skills
- The ability to use initiative and perform tasks independently and be able to work effectively and harmoniously as part of a team
- Good organisational skills and be comfortable prioritising and meeting multiple demands
- Good working knowledge of hospital administrative processes and hospital systems (UKG, Oracle, BEIMS, Riskman, E-Hub) are desirable
